About us:

The Mother’s Day Classic is an annual fun run and walk raising funds and awareness for breast and ovarian cancer research. It is held in up to 100 locations around Australia on Mother’s Day with up to 100,000 participants annually. Our aim is to deliver a fun, healthy and inspirational event experience that unites the community on Mother’s Day, to support and honour those touched by breast or ovarian cancer. In the event's 27 year history, 1.7 million participants have taken part across Australia and we have donated $46.1m to the National Breast Cancer Foundation and $1.2 million to the Ovarian Cancer Research Foundation to fund game-changing research.

The Mother’s Day Classic was founded in 1998 by Women in Super - a national member organisation consisting of women working in the superannuation and related financial services industries.

Event Operations Assistant – Role Summary

The Mother’s Day Classic Foundation is seeking a Event Operations Assistant to support the multiple functional areas within the Event Operations team.  Reporting to the Head of Events and Risk, the Event Operations Assistant works closely across the Mother’s Day Classic Foundation (MDCF) teams in the delivery of various operational components of the Mother’s Day Classic (MDC) event in up to 100 locations across Australia.

The Event Operations Assistant is an events and operations star with an exceptional eye for detail and meeting timelines, strong administration and organisational skills. This role supports the event management, venues, volunteer committees, and safety and risk compliance functions of the Events and Risk team.  

As a member of a small team with a big personality, this role works collaboratively with all MDCF team members and stakeholder groups to ensure the smooth delivery of event operations elements of the MDC.

This position is required to work the weekend of the Mother’s Day Classic event and fulfill a hands-on event day role.

Event Operations Assistant - Key Responsibilities

  • Provide administration support to the Head of Events and Risk and the Event Operations Manager
  • Assist with venue bookings and permit and compliance requirements across Major events
  • Assist with implementation of the MDC risk management programme.
  • Support Event Logistics and Inventory Management
  • Work closely with MDC Suppliers to order and fulfill signage and other logistical requirements
  • Customer Service Support
  • Managing database systems and website content
  • Onsite in Melbourne for the event weekend, liaising with key stakeholders and assisting to ensure event operations run smoothly
  • Assist with post event reporting and reconciliation

Qualifications/ Experience

  • Tertiary qualification or demonstrated experience in Event, Project or Volunteer Management
  • Experience in events, venue operations and logistics or similar
  • Experience in working with volunteers and volunteer committees (desirable)
  • Experience working with Rosterfy or similar Volunteer Management software (desirable)
  • Experience working with data management and systems
  • Strong level of competency with MS Office
  • Ability to write reports and analyse data
  • Strong knowledge and experience in one or more of the following:
    • Stakeholder Management
    • Risk Management
    • Financial Management
    • Community Relations

Graphic Designer (3 days per week)

Overview:
We are seeking a Graphic Designer to join the Mother’s Day Classic marketing team. The ideal candidate will have a keen eye for detail, the ability to work across diverse projects and within a small but mighty team. You will be responsible for creating visually engaging content across various platforms, including print, digital, and social media. The role requires proficiency in Adobe Creative Suite, excellent communication skills, and the ability to work collaboratively with other team members. 

Key responsibilities: 
  • Develop and design creative assets for both print and digital media 
  • Collaborate with the marketing team to create visually compelling campaigns 
  • Ensure all designs align with brand guidelines and project requirements 
  • Revise and iterate on designs based on feedback 
Qualifications: 
  • Bachelor's degree in Graphic Design or related field 
  • 3+ years of professional graphic design experience 
  • Proficiency in Adobe Creative Suite (Photoshop, Illustrator, InDesign) 
  • Excellent communication and teamwork skills 
  • Ability to manage multiple projects and meet deadlines

Digital Content Coordinator (3 days per week)

Overview:
We are seeking a talented Digital Content Coordinator to join our team on a part-time basis (3 days per week) from February to June 2024. The ideal candidate will be responsible for creating, managing, and optimising digital content across various platforms to enhance our brand presence and engage our audience. 

Key Responsibilities: 
  • Develop, schedule, and publish content for social media, websites, and other digital platforms 
  • Collaborate with the marketing and design teams to ensure content aligns with brand guidelines and project goals 
  • Monitor analytics and performance metrics to improve content strategy 
Qualifications: 
  • Bachelor’s degree in Marketing, Communications, or a related field 
  • Proven experience in digital content creation and management

Teams Coordinator (3 days per week)

We are seeking a dedicated and motivated Teams Coordinator to join our Mother's Day Classic team. This role primarily involves managing cold and warm outreach to recruit teams and providing day-to-day support once they sign up. The successful candidate will play a crucial role in ensuring a smooth and engaging experience for all participating teams. 

Key Responsibilities: 
  • Conduct cold and warm outreach efforts to recruit new teams for the Mother's Day Classic event. 
  • Provide ongoing support to teams, addressing any queries and ensuring they have the resources needed for successful participation. 
  • Maintain regular communication with team leaders to foster engagement and motivation and fundraising. 
  • Monitor team registration progress and implement strategies to increase participation. 
  • Team management on our content management system Funraisin. 
  • Collaborate with the marketing team to develop and execute strategies to promote team participation. 
  • Provide detailed reports on team recruitment and engagement metrics. 
Qualifications: 
  • Experience in Marketing, Communications, Sales or a related field. 
  • Proven experience in outreach and managing team or group activities. 
  • Excellent communication and interpersonal skills. 
  • Strong organisational skills and the ability to multitask effectively.
